We recommend giving each staff member their own account, even when they don't have a corporate email address. Endear gives you two ways to invite these staff members: a PIN code invitation or a shareable link invitation. This is common for retail teams who share a device on the sales floor and don't have individual work emails.
Overview
Staff members without a corporate email can be invited using a full name as their staff identifier, which unlocks PIN code and shareable link invitations.
A PIN code invitation generates a random 6-digit code the staff member uses to sign in. This option is available for the User role only.
A shareable link invitation generates a unique link the staff member uses to create their own username and password.
You can also invite a staff member by phone number. Their phone is used only for verification codes and password resets — they sign in with their chosen username afterward.
Managers and admins cannot be invited by PIN code. Admins must be invited by email address, and managers must be invited by email, phone number, or shareable link.
Choosing an invitation method
When you add a staff member manually, you choose a staff identifier — full name, phone number, or email address — which determines how they sign in and which invitation methods are available.
For staff without a corporate email, you have these options:
PIN code invitation (Users only). Select Full name as the staff identifier and assign the User role. Endear generates a random 6-digit PIN you share with the staff member outside of Endear. They enter it to sign in for the first time and can change their default PIN afterward. To learn more, see how to create or change a PIN code.
Shareable link invitation (Users and Managers). Select Full name as the staff identifier. Endear generates a unique link you share with the staff member outside of Endear. They use the link to create their own username and password.
Phone number invitation (Users and Managers). Select Phone number as the staff identifier. The staff member receives an SMS invitation. Their phone is used only for verification codes and password resets — once set up, they sign in with their chosen username.
Best practices for shared-device teams
Give every staff member their own account. Even on a shared store device, individual accounts keep activity, messages, and reporting accurate per staff member.
Use PIN code login for staff on shared devices. PIN code login lets staff sign in quickly without an email or password, which is ideal for busy teams sharing a device on the sales floor. To learn more, see the new PIN-enabled device and PIN code login experience.
Register a PIN-enabled device before staff sign in. Staff using PIN code login need a registered, PIN-enabled device to sign in. To learn more, see how to register a device as PIN-enabled.
Keep elevated roles tied to a verified email. A PIN-only staff member cannot be promoted to manager or admin without a verified email address and password. Plan to invite managers and admins by email from the start.
Reserve a manager or admin to manage invitations. PIN code and shareable link invitations are shared outside of Endear, so a manager or admin should be available to generate and distribute them.
