How to Create and Manage Campaign Variations

Create multiple versions of a campaign for different teams for easy localization.

Overview

Campaign variations allow you to create multiple versions of a single campaign. This feature is particularly useful for multi-location retailers who want to empower local managers to personalize messaging while maintaining centralized control over campaign structure and timing. Campaign variations are ideal for:

  • Regional customization where each store manager can personalize the message for their local customer base

  • Team-specific campaigns where the campaign needs different assets, links, or products depending on the team

Creating a Campaign with Variations

1. Navigate to the Campaigns section and select Create Campaign. Select your campaign type (one-time or recurring, email or SMS). You can setup campaign variations on any type of campaign as well as for any campaigns using a recipe.

2. Configure your base campaign settings including details, senders, and audience. These settings will apply to all variations.

3. Scroll down to section 4 Compose and select Add variations.

4. Choose how you want to add variations by selecting either Set up for all teams to create variations for all teams that don't have them, or I want to choose specific teams to select which teams should get variations.

  • Select your approach by choosing Include teams to select which teams should get variations, or Exclude teams to select which teams should not get variations.

  • Select Select next to Add teams to choose your teams from the dropdown menu.

  • Toggle Assign a task to team managers on to automatically create tasks for team managers to complete their variations. You can customize the task description and set a deadline.

5. Select Create to generate the variations.

Editing Variation Content

1. From the variations overview dashboard in section 4 Compose, select the variation name you want to edit.


2. In the Edit campaign variation modal, you can update the variation name, UTM code, subject line (for email campaigns), and message content.


3. Customize the message content for that specific variation. You can modify text, add personalization, and adjust the messaging to suit your audience.


4. Select Save to preserve your changes.


5. When you've completed editing and reviewing the variation, toggle Ready to send on to indicate the variation is finalized and approved.

Managing Variation Tasks

If you assigned tasks to team managers when creating variations:

1. Managers will see their assigned variation tasks in their Tasks section.

2. The task details include the title, description, associated campaign variation, deadline, and status.

3. Managers can select View next to the campaign variation to open and edit their variation.


4. Important: After making edits, managers should toggle Ready to send on in the variation editor to mark the task as complete.


Tracking Variation Status

The variations overview dashboard in section 4 Compose displays important information about each variation:

  • Variation Name: The name of the variation

  • Teams: Which team the variation is assigned to

  • Status: Current status (Assigned, Ready, or other states)

  • Task: Whether a task was created (indicated by a task icon)

  • Assignees: Who is assigned to complete the variation

  • Assigned On: When the variation was assigned

  • Completed On: When the variation was marked as ready to send

  • Due: The deadline for completing the variation

You can search for specific variations using the search bar that filters by variation name, variation UTM code, or team name.

Validating Variations Before Launch

Before activating your campaign, the system automatically validates all variations:

1. When you attempt to schedule or set your campaign live, select Set live or Schedule.


2. If there are validation issues, a Campaign Status alert will appear showing the total number of issues that must be resolved before scheduling.


3. Review the detailed list of issues, which may include:

  • Variations not marked as ready to send

  • Missing brand name in message content

  • Missing subject lines (for email campaigns)

  • Empty or unsaved messages


4. Select the linked variation names to open and fix the specific issues.


5. Once all variations pass validation and are marked ready, you can activate or schedule your campaign.

Important Details

  • Requesting Access to Campaign Variations: To request access to campaign variations, reach out to your account manager or to our chat support.

  • Base Variation Settings: Each variation operates independently with its own message content, but shares the same campaign structure, timing, and audience settings. Changes to the base campaign settings affect all variations.

  • Variation Settings: When a manager is editing a variation, base campaign settings (timing, audience filters, delivery preferences) are read-only to prevent accidental changes that would affect other variations.
