Overview
The launch checklist is a setup health check for the AI Opportunity Engine. It shows which configuration steps are still outstanding and links you directly to the page where you can resolve each one. Completing it helps make sure opportunities reach the right staff member and store, and that drafted messages match your brand's voice.
The checklist appears in two places:
Your home page, on the AI Opportunity Engine card
Your Endear AI settings page, on the AI Opportunity Engine feature card
It covers four items:
Add message templates
Link user profiles
Link teams
Set up usage management
Before you activate the Opportunity Engine, the checklist is a neutral to-do list you can work through at your own pace. After you activate it, any item that is still incomplete becomes an amber warning, because incomplete setup can affect how opportunities are routed and drafted.
Launch checklist items
Item | Why it matters | Marked complete when |
Add message templates | Helps the AI generated message draft match your brand's voice | Every live journey has at least five message templates |
Link user profiles | Ensures opportunities reach the right staff member | No unlinked staff members remain |
Link teams | Ensures opportunities route to the right store | No unlinked teams remain |
Set up usage management | Sets a send limit and notification thresholds | Your usage management settings have been saved once |
Step-by-Step Guide
From your home page, find the AI Opportunity Engine card and select the launch checklist to expand it. Each incomplete item shows a short description and a status count, and each completed item shows a green checkmark and reads Complete. You can also view the same checklist on the AI Opportunity Engine feature card in your Endear AI settings.
Select Add message templates to review your journey templates. Each live journey needs at least five message templates before this item is marked complete. Five is a minimum rather than a maximum, so adding more gives the AI a wider range of examples to work from. If a single journey needs templates, you will land directly on that journey's template configuration page. If more than one journey needs templates, you will land on the Opportunity Engine settings page with the journeys section in view.
Select Link user profiles to go to the User Connections page, filtered to staff members who are unlinked and assigned to a team. Linking connects a staff member's Endear profile to their profile in your integration, which is how Endear knows which staff member an opportunity belongs to. To view every unlinked staff member regardless of team assignment, open the User Connections page from the left-hand navigation instead, which loads unfiltered.
Select Link teams to go to the Teams page in Settings. Linking a team to its integrated location is how Endear routes an opportunity to the store where the purchase or activity took place.
Select Set up usage management to go to the Usage Management card, where you can leave sends unlimited or set a maximum number of opportunities your brand can action per 30 days, and set a notification threshold. This item is marked complete once you have saved your selection.
When all four items are complete, the checklist disappears from the feature card and the home page card. If you have not activated the Opportunity Engine yet, the home page card confirms that setup is complete and offers Start your 1 month trial.
After you activate the Opportunity Engine
Once the feature is live, any incomplete item is shown as an amber warning row on the feature card, with a short description of the issue and a link to the fix. Only incomplete items appear, so no rows are shown when everything is healthy.
Warnings can also reappear after setup is complete if something changes. For example, if a staff member leaves and a new one is added without being linked, or if templates are removed from a live journey, the relevant warning returns until it is resolved.
FAQs
Why isn't a staff member receiving any opportunities?
Start with the launch checklist, since the most common causes are the items it tracks. Three things need to be true before a staff member can receive opportunities: their Endear profile is linked to their profile in your integration, they are assigned to a team, and that team is linked to an integrated location. If any one of these is missing, opportunities cannot be routed to them. Also confirm the Opportunity Engine is activated and that the relevant journey is live with at least five message templates. The same checks apply if you are not receiving opportunities yourself.
Why has everyone stopped receiving opportunities?
If opportunity generation stops for your whole brand at once, it is usually a usage or trial condition rather than a setup one. Reaching your send limit pauses new opportunities and prevents existing ones from being sent until the limit is raised or the 30-day period resets. The same happens when a trial ends. In both cases your admins are notified, and the AI Opportunity Engine card on your home page shows the current status. For more on trial timing, see Overview of the AI Opportunity Engine 1-month trial.
How does Endear decide which staff member receives an opportunity?
Endear uses a priority-based assignment strategy and stops at the first match it finds. By default it checks, in order: the staff member who assisted with the customer's most recent associated order, then the staff member who processed the transaction, then the staff member assigned to that customer in Endear. Each of these depends on the staff member's Endear profile being linked to their integration profile, which is why Link user profiles is a launch checklist item. Assignment strategy is configurable, so your brand's priority order may differ from the default, and it can be set differently for each journey. To confirm what is configured for your brand, reach out over live chat. For a full breakdown, see How AI opportunities are assigned to staff members.
Why did I get an opportunity that should have gone to my teammate?
Assignment depends on Endear being able to resolve the staff member recorded on the order in your integration, either as the person who assisted with the sale or the person who processed it. If that teammate's Endear profile is not linked to their integration profile, Endear cannot resolve them, and the opportunity falls to the next match in the strategy, which is usually the staff member assigned to that customer. Linking the teammate's profile resolves this for future opportunities, but it does not reassign opportunities that were already created.
Why doesn't the number of unlinked staff members match the User Connections page?
The checklist counts only staff members who are both unlinked and assigned to a team, because both conditions must be true for someone to receive opportunities. Opening the User Connections page only looks at whether an Endear profile is linked or unlinked to an integration profile (regardless of whether they are assigned to a team) so the number there can be higher.
Does the checklist look at unlinked profiles in my integration too?
No. The check only looks at profiles that exist in Endear. If you have five unlinked staff members in Endear and ten unlinked profiles in your integration, the checklist flags the five Endear profiles. The goal is to make sure everyone with an Endear account can access their opportunities.
