How to edit an appointment from the calendar

Edit an appointment's date, time, service type, calendar, assigned staff member, or internal notes from the side panel.

Applies to: All

Appointments are editable. Selecting an appointment opens a side panel that is ready to edit straight away, so you can move an appointment, swap the service type, or reassign it without leaving the calendar.

Overview

  1. Select the appointment on the calendar to open its side panel.

  2. Change any of the editable fields directly in the panel.

  3. Select Save.

  4. Select Notify customer in the confirmation message if the customer should be told about the change.

Your changes are held in the panel until you select Save, so nothing is committed field by field. The fields you can change are the date, start and end time, service type, calendar, assigned staff member, and internal notes.

The panel also shows the customer, team, intake form responses, and full appointment history for reference. To change an appointment's status, use the Status & Outcome section. See Overview of appointment statuses.

Step-by-step guide

1. Select Appointments from the left-hand navigation and select the appointment. The side panel opens with every editable field pre-filled and ready to change.

2. To edit the appointment, you can edit the date or time by dragging and dropping the event or shortening/expanding the event. To change the service type, calendar, or assignee select the relevant dropdown. After making any changes, select Save.

Notifying the customer and undoing a change

When the change saves, a confirmation message appears for about eight seconds with two actions: Notify customer and Undo.

  • Saving on its own does not email the customer. If the customer needs to know, you have to select Notify customer while the message is still on screen. If the message disappears first, the change stays saved but no notification is sent.

  • Selecting Undo in the same window rolls the appointment back to how it was before you saved.

Unsaved changes

If you try to leave the panel with changes you have not saved — by closing it, selecting another appointment, switching views, or moving to another date — a dialog appears reading You have unsaved changes. Select Keep editing to go back to the panel, or Discard to drop the changes and continue with what you were doing.

Cancelled and archived appointments

Some appointments can't be edited:

  • Cancelled: every field is locked except Customer Notes.

  • Archived: every field is locked, including Customer Notes.

To take an appointment off the calendar, cancel it if it was real and the customer should know, or archive it if it was a duplicate or a test. Archiving replaces the old delete option. See How to cancel an appointment and How to archive an appointment.
