How to archive an appointment

Remove a duplicate, test, or mistaken appointment from your calendar and cancellation rate without deleting the record.

Applies to: All

Archiving takes an appointment off your calendar and out of your cancellation rate without deleting it. Use it for duplicate bookings, test appointments, or appointments created by mistake. Archive replaces the old delete option, so the record is always kept.

Overview

  1. Select the appointment on the calendar to open its side panel.

  2. Select the ⋯ menu, then select Archive appointment.

  3. Select Archive appointment in the confirmation dialog.

Archive or cancel?

  • Cancel when the appointment was real but won't happen. The customer is notified, and the appointment counts toward your cancellation rate. See How to cancel an appointment.

  • Archive when the appointment shouldn't count, such as a duplicate or a test. The customer isn't notified, and archived appointments don't count toward your cancellation rate.

You can archive an appointment with any status.

Step-by-step guide

1. Select Appointments from the left-hand navigation, then select the appointment you want to archive. Its side panel opens. Select the ⋯ menu in the top-right corner of the panel, then select Archive appointment.

2. A dialog asks Archive this appointment? and reminds you that archiving can't be undone. Select Archive appointment to confirm, or Keep it to go back without changing anything.

What happens after you archive

  • It can't be undone. There is no way to unarchive an appointment. If you archive one by mistake, create a new appointment.

  • The customer isn't notified. If the customer should know the appointment won't happen, cancel it instead.

  • Its status stays the same. An archived appointment keeps the status it had, such as Completed or Cancelled.

  • The appointment becomes read-only. Every field is locked, including Customer Notes, and a gray banner appears at the top of the panel.

  • The time slot frees up. Archived appointments don't create scheduling conflicts.

  • It's hidden from your calendar. Archived appointments don't appear in the calendar, list view, or search unless you choose to show them.

  • It's left out of your cancellation rate. Other charts still count archived appointments unless you filter them out: in the chart's Filters, open Archived and select False. Charts can take up to an hour to update after you archive an appointment. See How can I create charts using appointment data?

  • It's recorded in the appointment's history with who archived it and when.

Viewing archived appointments

In the calendar sidebar, check Archived in the Status section. Every archived appointment appears, whatever its status.

On the calendar they show gray and faded with the text struck through.
