Blocked time reserves part of a calendar so customers cannot book into it. Use it for lunch breaks, staff meetings, in-store events, stock takes, VIP holds, or any stretch of the day that should not be bookable. Blocked time always prevents customer bookings; there is no option to leave it open.
Overview
Select + New on the calendar or select a time slot on the Calendar. Then select Blocked time.
Give the block an optional label, add one or more time blocks, and choose the calendars it applies to.
Select Save.
To change or remove a block later, select it on the calendar and edit it in the panel, or use the ⋯ menu to delete it.
Step-by-Step Guide
1. Select Appointments from the left-hand navigation, then select + New in the top right and choose Blocked time. You can also select an empty slot on the calendar and switch the type selector at the top of the panel to Blocked time — doing it this way pre-fills the first time block with the slot you selected.
2. Add a Label if it is useful. This is optional, and it is what your team sees on the calendar — for example Lunch break, VIP hold, or Staff meeting. Leaving it empty is fine; the block shows as Blocked time instead. Add your time blocks. Each row holds a date and a start and end time. Select + Add time block to add another row, the pencil icon to edit a row, or the X to remove one. You can add as many rows as you need and they all save together.
3. To build a recurring or multi-day pattern quickly, select ✨ Generate with AI and describe the time you need in plain language — for example "every Wednesday this month from 8-9am". Select Generate, and the blocks appear as rows you can review and adjust before saving. Nothing is saved until you save the panel.
4. Choose the calendars the block applies to. This is required, and you can select more than one. There is a Select all calendars option for anything store-wide. Then select Save.
How blocked time appears
Blocked time is shaded and carries a crossed-circle icon along with its label and time range. A block on one staff member's calendar uses that person's color; a store-wide block, or one covering several calendars at once, is shown in grey with no individual names. In month view it appears as a grey pill.
Blocks that cover several staff members merge into a single band only when their start and end times match exactly. Partly overlapping blocks stay separate.
Blocked time is always visible on the calendar, whichever service filters you have applied, and it cannot be dragged. In list view, a blocked time row shows no assigned staff member.
Editing blocked time
1. Select the block on the calendar. Its panel opens showing the label, calendars, date, and times, all ready to edit. Change whatever you need to, then select Save.
Removing blocked time
1. Select the block on the calendar to open its panel. Select the ⋯ menu in the top-right corner of the panel. Select Delete blocked time. The block is removed straight away and the panel closes.
Removing a block also clears any scheduling conflicts it was causing on nearby appointments.
Note: time blocks can only be removed one at a time. There is currently no way to remove multiple time blocks at once.
Blocked time and existing appointments
Blocking time does not cancel or move appointments that are already booked in that window. Those appointments stay where they are and are flagged as scheduling conflicts so you can decide what to do with each one. See the article on reviewing and resolving scheduling conflicts.
